Adding your accountant to the platform gives them access to manage your financials, review receipts, and categorize and sync transactions with your preferred accounting software, such as QuickBooks. Follow these steps to seamlessly add your accountant to your account.
How to Add Your Accountant
- Go to Settings
- Navigate to the Settings page and click on Team.
- Click on Add a User
- Choose User Permissions
Assign the appropriate role based on the user's responsibilities:- Admin: Full access, including all permissions of the account owner.
- Accountant: View-only access to all transactions without banking permissions. They can also review and sync transactions to QuickBooks.
- Employee: Limited to making purchases with their assigned cards and viewing those transactions.
- Complete the Setup
After entering the required details, click Create User. Your accountant will receive an invitation and gain access to the platform.
Troubleshooting and Common Issues
- The accountant didn’t receive the invitation email:
- Ensure the correct email address was entered.
- Ask your accountant to check their spam or junk folder.
- You can also resend the invitation from the Team page.
- I can’t find the “Add a User” option: Make sure you have the necessary admin permissions to add users. Only admins and account owners can add new users.

- Can I limit the accountant’s access to specific transactions?
No, accountants have view-only access to all transactions. However, they cannot make changes or access banking features. - Can I assign multiple accountants to my account?
Yes, you can add multiple accountants with the same view-only access. - What happens if I remove an accountant?
The accountant will lose access to the platform immediately upon removal, and any access they had to financial data will be revoked. - Can accountants create cards or make purchases using Keep?
Accountants cannot create cards or make purchases unless they are also cardholders. They have view-only access to all transactions without banking permissions and can review and sync transactions to QuickBooks.
