Troubleshooting transactions not appearing in QuickBooks
If Keep transactions aren't showing up in QuickBooks, work through these steps in order. Most issues resolve at step 1 or 2.
Step 1: Check the sync status in Keep
Go to your transactions page in Keep and check the status of the missing transaction:
- An Authorization or a Pending transaction means the transaction hasn't settled yet. Keep sends transactions once daily after they settle. Wait for the next sync cycle
- Settled means the transaction was completed by the merchant and is available for QBO to retrieve and may or may not have been sent to QBO. Move to step 2

Step 2: Trigger a refresh in QuickBooks
QuickBooks refreshes bank feeds automatically every night. If a transaction shows as Settled in Keep but hasn't appeared in QuickBooks:
- Log into QuickBooks Online
- Go to Transactions, then Bank transactions
- Click Update
This pulls all available transactions immediately, rather than waiting for the nightly refresh.

Step 3: Check for the historical data gap
If transactions before a certain date are missing, check whether the GL account you connected Keep to already had transactions when you set up the bank feed.
QuickBooks imports keep transactions only if they are dated after the most recent existing transaction in that GL account. Anything older is skipped automatically. This is QuickBooks behavior and cannot be changed.
If you need those older transactions in QuickBooks, they must be entered manually. To avoid this in setups, connect Keep to a new GL account with no existing transactions.
Step 4: Check the connection health
In Keep, go to Settings> Accounting, then check the bank feed connection status.
If the connection shows as unhealthy or disconnected:
- Go to QuickBooks then Transactions, then Bank transactions
- Check whether Keep still appears in your connected accounts
- If Keep is missing, click Link account, search for Keep, and complete the connection flow again

Things to know
Transactions are sent in order. If your connection was down for a period, queued transactions will be sent in the order they occurred once the connection is restored. Allow up to 24 hours after reconnecting for the queue to clear.

I clicked Update, but the transaction still isn't there. What now?
If a transaction shows as Settled in Keep and still hasn't appeared after a refresh, check the historical data gap in step 3, since transactions dated before your GL account's most recent entry are skipped automatically. How long should I wait before a settled transaction is a problem?
Keep sends settled transactions once daily, and QuickBooks pulls them in its next nightly refresh. Allow up to 24 hours from settlement. If a settled transaction hasn't appeared after that and a manual Update doesn't pull it, move on to the connection health check in step 4.

My connection was down. Will I lose the transactions from that period?
No. Queued transactions are sent in the order they occurred once the connection is restored. Allow up to 24 hours after reconnecting for the queue to clear.
