Set up automatic QuickBooks Bank Feed sync
Keep card transactions can sync to QuickBooks automatically, just like your other bank and card accounts. This article covers choosing the right sync mode, setting up a bank feed, and disconnecting if needed.

Which mode is right for you?
Keep offers two ways to get your card transactions into QuickBooks. Use one or the other. Running both for expense categorization can lead to duplicate entries.

Before you start
- A QuickBooks Online account. QuickBooks Desktop is not supported
- Admin access in both Keep and QuickBooks
Step 1: Connect your Keep account in QuickBooks
This step is done inside QuickBooks.
- Log into QuickBooks Online
- Go to Transactions, then Bank transactions
- Click Link account.
- In the search bar, type Keep: All-in-One Banking
- Select Keep: All-in-One Banking from the results and authenticate with your Keep login
- Map the Keep account to a QuickBooks general ledger account
- Click Connect
If your business has multiple cards: all transactions from every Keep card push to the single GL account you connect here. There is no option to map individual cards to separate GL accounts or separate feeds — one Keep connection means one combined feed of all card activity.

If you link to a GL account that already has transactions: QuickBooks will only import Keep transactions dated after your most recent existing transaction in that account. Older Keep transactions will not appear, even if you select a longer date range. This is QuickBooks behaviour that Keep cannot override. If you need older transactions, link to a new GL account instead.
Step 2: Wait for transactions to start syncing to QuickBooks
Transactions start appearing in QuickBooks → Bank Transactions once you set up the bank feed. Depending upon the transaction volume, it can take a while for the activity to complete.
Step 3: Confirm the connection
- In Keep Dashboard, go to Settings then Integrations
- Confirm the bank feed connection shows as healthy
- In QuickBooks, Keep should now appear in your list of connected bank accounts

When transactions appear
QuickBooks refreshes bank feeds automatically every night. Keep sends transactions after they settle, and QuickBooks picks them up in its next nightly refresh. If you want to pull transactions immediately, open Bank transactions in QuickBooks and click Update.
How to disconnect?
- In QuickBooks, go to Bank transactions then Manage connections
- Disconnect the bank feed you want to remove
What happens when you disconnect:
- Keep is removed from your QuickBooks bank accounts
- Transactions already imported into QuickBooks stay there
- You can reconnect anytime you want, and transactions will start syncing automatically

Can I use both Expense Management and Bank Feed features?
You may connect to both Expense Management and Automatic Bank Feeds, but we do recommend using either one at a time to avoid duplications

I manage multiple client businesses on Keep. Do I set this up once?
No. Bank feed is set up per business. Each client's QuickBooks account connects to their own Keep account independently.

Can I switch from bank feed back to expense sync?
Yes. You can connect to both Bank Feed and Expense Sync simultaneously, but we recommend using only one for expense categorization.

I clicked Link account, but can't find Keep in the search results.
Try searching for 'Keep Financial' or 'Keep - All in One’. Make sure you are on QuickBooks Online, not QuickBooks Desktop. If Keep still doesn't appear, contact support at support@trykeep.com

Is there an extra charge for bank feed?
No. Bank feed is included in Keep's standard accounting integration.

We have multiple cards on Keep. Does each card get its own feed in QuickBooks?
No. All transactions across every card on your Keep account push into the single GL account you connected during setup. There isn't a way to separate individual cards into their own feeds or GL accounts today.
