How to Review Transactions on Keep
The Transactions page in your Keep dashboard provides a comprehensive view of all your financial activities, including purchases, refunds, payments, and chargebacks.

How to Access Your Transactions
You can view your transactions from multiple places in your Keep dashboard:
- Home page — a summary of recent activity
- Transactions page — your full transaction history (available to some customers)
- Card Overview page — your full transaction history with filters (available to most customers)
What You'll See
The Transactions section shows all activity on your account in one place — purchases, payments, pending transactions, and settled ones all appear together.
Here's a quick breakdown of what each column means:
- Date: When the transaction occurred or was initiated.
- Description: The merchant name or transaction type (e.g., Payment to Keep). Pending transactions will show a Pending badge next to the description.
- Amount: The total amount billed. If the purchase was made in another currency, the original currency amount appears beneath the CAD amount. Credits appear as negative amounts (e.g., -$10.00 CAD).
- Card: The last four digits of the card used and the name of the cardholder.
- Rewards: How many reward points you earned (displayed as "pts"), if applicable.
- Receipt: A receipt icon indicates whether documentation has been uploaded. Click it to open the transaction details panel.
Filtering Transactions
Click the Filter by Date button above the transactions table to open the filter panel. You'll see three filter options:
Date: Select any custom date range — you're no longer limited to statement periods. Pick a start and end date and click Apply to update your view.
Status: Filter transactions by their current state:
- All — your complete transaction history
- Pending — transactions still being processed
- Settled — completed transactions
Card: Filter by specific credit cards.
- Your Cards — cards assigned to you, with the option to select all
- Everyone's Cards — cards belonging to other team members
Once you've made your selections, click Apply to update the table. To start fresh, click Clear all.
How Pending and Settled Transactions Are Displayed
All transactions — pending and settled — appear together in one place.
Pending Payments: When a payment is made, it will appear in the table with a Pending badge until it is either completed or fails. Once completed, the badge is removed and the transaction shows as settled.
Transactions Settled: Settled transactions now appear in the table shortly after they're processed — If a purchase settles today, it will be visible within a few minutes.
Exporting Transaction Data
Click the Export button in the top right corner of the transactions table to download your transaction history.
Your export will include the transactions shown in your current view. You can also choose a custom date range before downloading — including up to a full year of transactions.
Export as CSV: Downloads your transaction data as a CSV file, compatible with spreadsheet tools like Excel.
Export as QuickBooks CSV: Downloads a file formatted for QuickBooks.
You can also click Statements to view or download past credit card statements.
Managing Receipts
If you have transactions without receipts, you may see a banner indicating how many still need documentation. You can also click Upload receipts from the top of the transactions table.
To upload a receipt for a specific transaction:
- Click the receipt icon next to the transaction.
- A transaction details panel will open on the right side of your screen.
- Under Upload receipt, drag and drop your file or click Upload to select one from your computer.
- Click Submit to attach the receipt.
Supported formats: PDF, PNG, JPG, and JPEG.
Frequently Asked Questions
How do I know if a transaction is pending or settled? Pending transactions display a Pending badge next to the description. You can also use the Status filter to view only Pending or Settled transactions.
Why isn't my settled transaction showing up? Settled transactions now appear within a few minutes of processing — you no longer need to wait until the next day. If a transaction isn't visible, try refreshing the page or checking your active filters.
Can I filter by both status and card at the same time? Yes — all three filters (Date, Status, and Card) can be applied together.
How much transaction history can I export? You can export up to 1 year of transactions at a time.
What should I do if a transaction looks incorrect or unfamiliar? Click on the transaction to review the details and receipt. If you still have concerns, reach out to our support team.
