How to Review Transactions on Keep

The Transactions page in your Keep dashboard provides a comprehensive view of all your financial activities, including purchases, refunds, payments, and chargebacks.

This guide will help you navigate the Transactions page and utilize its features to manage your financial records effectively.

How to Access Your Transactions

  1. Log in to your Keep dashboard.

  2. Click Credit Card in the sidebar.

  3. Select Overview.

  4. Scroll down to the Card transactions section.

 

What You’ll See

The Transactions section shows every activity on your account, from purchases to payments. Transactions are grouped by month (for example, “December” or “February”) to make it easier to review activity by period.

Here’s a quick breakdown of what each column means:

  • What You Bought: Shows where and when you made a purchase or transaction, helping you track your spending.

    If applicable, you may also see a multiplier badge (for example, 1x or 4x) indicating how reward points were calculated. 

  • Who Made the Purchase: Lists the cardholder or user who made the transaction, making it easy to manage team expenses.

  • How Much It Cost: Displays the total amount billed for the transaction. If the purchase was made in another currency, you may also see the original currency amount beneath the billed amount.

    Credits may appear as a positive amount (for example, +$200.00 CAD).

  • Points Earned: Shows how many reward points you earned from each transaction (displayed as “pts”).

  • Receipts: A small receipt icon indicates if a receipt has been uploaded or matched with the transaction.

    Click the receipt icon to open the transaction details panel, where you can upload or review documentation for that specific transaction.

  • Card Used: The last four digits of the card used, handy for quickly checking which card made the purchase.

Filtering Transactions

The Transactions section includes filters to help you sort and search through your financial activity quickly.

Filter by Card

Use the All cards dropdown to view transactions associated with specific cards. This is helpful for tracking expenses across multiple cards or for specific team members.

Filter by Date

Select a date range to narrow down transactions based on a specific period, such as a billing cycle or calendar month.

Your results update automatically when filters are adjusted. 

Note: If no transactions match your selected filters, you may see a message such as: “No transactions found. Once your purchase has settled, it will appear here.”

How Pending and Settled Transactions Are Displayed

When you make a purchase, it may first appear in the Pending section. Pending transactions are those that are still being processed and haven’t cleared yet.

The Pending section will only appear if you currently have transactions still processing. If there are no pending transactions, this section will not be displayed.

Once a transaction is settled, it will no longer appear under Pending and will move to the Settled section.

Important: Settled transactions become visible in the Settled section the day after they have cleared. If your transaction settled today, you’ll see it reflected as settled starting the next day.

Exporting Transaction Data

If you need to share your transaction data or analyze it in more detail, you can export it using the Export button in the top right corner of the Transactions section.

Export as CSV

Downloads your transaction data as a CSV file, perfect for importing into spreadsheets like Excel.

Export as Quickbooks CSV

If you use QuickBooks for bookkeeping, select this option to download a file formatted for QuickBooks import.

You can also click Statements to view or download past credit card statements.

Managing Receipts

If you have transactions without receipts, you may see a banner indicating how many still need documentation.

To upload a receipt for a specific transaction:

  1. Click the receipt icon next to the transaction.

  2. A transaction details panel will open on the right side of your screen.

  3. Under Upload receipt, you can:

    • Drag and drop your file into the upload area, or

    • Click Upload to select a file from your computer.

  4. Click Submit to attach the receipt to that transaction.

Supported file formats include PDF, PNG, JPG, and JPEG.

Receipts uploaded from this panel are saved to the individual transaction you selected.

Frequently Asked Questions

How can I check if my transaction is Pending or Settled?

If you have transactions still processing, they will appear in a Pending section at the top of the list. All other transactions shown below are settled.

Why aren’t my settled transactions showing up?

Settled transactions appear the day after they clear. If you don’t see your transaction immediately after it’s settled, check back the next day.

What should I do if I can’t find a specific transaction?

Use the filters to narrow down your search by card or date range. If it still doesn’t appear, it may still be pending.

What should I do if a transaction looks incorrect or unfamiliar?

Click on the transaction to review the details and receipt status. If you still have concerns, reach out to our support team.
